About the Opportunity
The Logistics Coordinator coordinates the movement, booking, customs clearance, and cost settlement for international (air and ocean) and domestic shipments into our North American warehouses.
This role ensures accurate documentation, competitive freight costs, on-time delivery, and customs compliance, while working closely with buyers, sales, warehouse and accounting to provide exceptional customer experience.
More specifically, some of your day-to-day responsibilities include:
Core Logistics Operations
- Manage booking requests and communications with freight forwarders for international and domestic shipments.
- Track and monitor shipments to ensure timely delivery; escalate and support resolution of delays.
- Set up container tracking numbers (CNT) and maintain accurate shipment documentation in Sage X3.
- Monitor customs clearance status and ensure duty rates and documentation are accurate.
- Coordinate with customs brokers to address compliance questions and support customs documentation.
- Process freight claims for damage or delays, ensuring timely follow-up.
Cost & Data Management
- Record and reconcile all freight-related costs (duties, brokerage, freight, cartage) in the ERP system.
- Review and approve freight and brokerage invoices prior to payment processing.
- Support freight cost analyses and respond to audit or accounting inquiries as needed.
- Track and report on freight forwarder performance using defined KPIs.
Collaboration & Process Improvement
- Liaise with suppliers, sales team, buyers, warehouse, and accounting teams to ensure smooth logistics flow.
- Support freight rate negotiations by gathering data and maintaining rate records.
- Contribute ideas for improving logistics processes, cost savings, and transit time performance.
- Provide support to colleagues during peak periods or absences.
- Assist with special projects or audits as required.
About You
You’re a detail-oriented logistics professional who thrives on keeping things moving smoothly across borders. You have hands-on experience coordinating international and domestic shipments - from booking and tracking to customs clearance and cost reconciliation - and you take pride in accuracy, timeliness, and compliance.
You’re skilled in Excel and ERP systems (Sage X3 experience is a plus), confident managing freight documentation, claims and invoices, and comfortable communicating with freight forwarders, customs brokers, and internal teams. Analytical by nature, you spot process improvements and cost-saving opportunities while maintaining a collaborative, solutions-focused approach.
A background in logistics, freight forwarding, or supply chain operations (3-4 years) is ideal, along with a solid grasp of Canadian/US customs regulations. CIFFA coursework or certification would be an asset.
